About the Role:
Tracey Road Equipment, Inc. is seeking to hire full-time Truck Sales Administrator for the Syracuse, NY Branch.
This role ensures accuracy, regulatory compliance, and timely processing of all vehicle documentation while supporting sales coordination and finance functions. The ideal candidate is highly detail-oriented, organized, and capable of managing multiple priorities.
Key Responsibilities:
- Assist with daily motor vehicle requests
- Process and enter Manufacturer Statements of Origin (MSOs) from manufacturers.
- Prepare and process all physical DMV paperwork for truck and trailer sales across all branches, and construction units as required.
- Maintain accurate and organized records of all title and registration documentation.
- Ensure full compliance with NYS DMV regulations and dealership policies.
- Maintain accurate documentation and reporting to support finance processes.
- Work collaboratively with Sales Coordinators to monitor and track upcoming deals.
- Work collaboratively with Outside Sales Representatives to support financing support needs.
- Ensure timely completion of documentation required for deal finalization.
- Provide administrative support to ensure smooth transaction flow.
- Perform filing, scanning, and data entry with a high level of accuracy.
- Maintain organized physical and digital recordkeeping systems.
- Identify discrepancies and resolve documentation issues proactively.

- Self-motivated, persistent, and comfortable working independently or as part of a team.
Education & Experience:
- High school diploma or equivalent required; Associate’s degree preferred.
- Prior experience in dealership title processing, fleet administration, or commercial vehicle registration preferred.
- Working knowledge of NYS DMV systems and commercial registration requirements (IFTA, IRP, HUT) preferred.
